Privacy Policy
Last updated: 1 July 2026
This policy explains how Restore (Cumbria) (“we”, “us”, “our”) collects and uses personal information, and the rights you have.
Restore (Cumbria) is a registered charity in England and Wales (charity number 1187078). Our registered address is 31 Chiswick Street, Carlisle, CA1 1HJ.
We are the “data controller” for the personal information described below, which means we are responsible for how it is used.
If you have any questions about this policy or your personal information, contact us at operations@restorecumbria.co.uk or write to us at the address above.
The information we handle, and why
Photos and video of people
We take and use photos and video to share the work of Restore Cumbria, for example on our social media, our website, and in printed materials such as posters, leaflets and newsletters.
- Where someone is identifiable in a photo or video, we ask for their permission before we use it. Our lawful basis for using these images is your consent.
- You choose which uses you are happy with (social media, our website, printed materials, or internal use only), and you can change your mind at any time.
- To prepare and schedule social media posts, we use trusted software tools. Some of these tools use artificial intelligence to help draft the wording of a post. We do not use your photo to train artificial intelligence.
- We keep photos and the related consent form for up to 3 years, or until you ask us to stop, whichever comes first.
- You can withdraw your permission at any time by contacting us at operations@restorecumbria.co.uk. If you do, we will stop using your photo and delete it.
When you contact us
If you send us an enquiry (for example through a form on our website, by email, or by phone), we use the details you give us to respond and to keep a record of our correspondence. Our lawful basis for this is our legitimate interest in responding to you.
Our website
Our website does not use tracking, analytics, or advertising cookies, and we do not monitor your browsing.
Staff and volunteers
If you work or volunteer for Restore Cumbria, we hold records relating to your role, which we use only to manage your employment or volunteering.
Who we share your information with
To run our systems and share our work, we use trusted third-party service providers who process personal information on our behalf under contract. These include organisations that:
- host our data and run our software systems;
- help us prepare and schedule social media posts, including tools that use artificial intelligence to help draft caption text;
- provide the social media platforms we post to.
We only share what is necessary, and we require these providers to keep your information secure and to use it only for the purposes we set.
We do not sell your personal information, and we do not share it for marketing by other organisations.
Storing information outside the UK
Some of our service providers are based outside the United Kingdom, including in the United States. Where your personal information is transferred outside the UK, we make sure it is protected by appropriate safeguards, such as a UK “adequacy” or “data bridge” decision, or standard contractual protections approved for use in the UK.
How long we keep your information
We keep personal information only for as long as we need it:
- photos, video and the related consent form: up to 3 years, or until you withdraw your permission;
- enquiries and correspondence: for as long as needed to deal with your enquiry and keep a reasonable record.
Your rights
Under data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information, or to stop or limit how we use it;
- object to how we use your information;
- ask us to transfer your information to another organisation, in certain cases;
- withdraw your consent at any time, where we rely on your consent (for example to use your photo).
To use any of these rights, contact us at operations@restorecumbria.co.uk. We will respond within one month.
Automated decisions
We do not make decisions about you that have a legal or similarly significant effect using automated processing alone.
Complaints
If you are unhappy with how we have handled your personal information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or by calling 0303 123 1113.
